    Position Overview:

    Toffler Associates is looking for an Office Manager who is interested in an opportunity to work with great people in a fun atmosphere.  We are seeking someone who is a self-starter, takes initiative and can work with little supervision.  This person must be very organized and enjoys the challenge of managing multiple tasks at the same time.  They will be responsible for scheduling meetings, event planning (securing venues, ordering food, sending invitations), managing executives calendars, facilitating recruiting days and interacting with clients.  This role would require that you be in the Toffler Office located on Wilson Blvd in Arlington, VA.

      

    Responsibilities:

    • Marketing
      • CRM (Hub Spot)– contact management, marketing event management
      • Campaign lists/mailing lists management
      • Coordinating with engagement leaders
      • Collateral – production and distribution
      • Planning and Follow-up action item tracking
      • PR – print, research, preparation
      • Community involvement/donation
      • Professional organization – speaker coordination
      • Reporting
      • Target list status report for BD pursuits
      • Management of subcontractor support (e.g., Marsden Agency, creatives support, etc.)
    • Event planning and management
      • Event planning – location and details
      • Site selection
      • Event management preparation and on-site
      • Planning and Follow-up action item tracking
      • List coordination invitations, rsvp, follow-up
      • Coordinating with all engagement leaders
      • Event coordination – panelists, speakers
      • Collateral – production and distribution
      • Management of subcontractors and vendors (e.g., caterers, audio/visual, etc.)
      • Reporting

         
    • Meeting support
      • Research
      • Deck creation (PPT)
      • Follow-up action items (letters, packages, copies, etc.)
      • Catering and food ordering

         
    • Office Management
      • Office Administration (supplies, HQ, etc.)
      • Management of subcontractor support and execution (e.g., IT, Building Management, etc.)
      • Office Information Technology and IT liaison for team
      • Office communications – meeting minutes, announcement emails, updating Yammer, etc.  
      • Office organization – tidiness, files, books, marketing collateral, supplies, etc.
      • TA calendar – battle rhythms, recurring meetings calendar management, etc.
      • Kitchen/café – snack/beverage supplies, tidiness, etc.
      • Making copies and packages of information
      • Practice Meeting Coordinator (scheduling, agenda, minutes, etc.)
      • Weekly reporting – sales pipeline, staffing reports, etc.
      • Monthly reporting – Ops report, etc.

        • Lead On Boarding sessions (IT tools, time and expense reporting, TA calendar, etc)
      • Off Boarding and close out of terminated employees
    • Client Support (bill and non-bill chargeable work)

    Qualifications: 

    • Must be skilled with with Outlook, Word, PowerPoint, and Excel
    • HubSpot (CRM), UUNET (Project reporting) skills a plus
    • Worked within consulting industry in past experience a plus




      

    Must be legally authorized to work in the United States without sponsorship of a Visa.
